Bear Tracks Youth Database Software Instructions for Upgrading to Version 4.1.0

Welcome to the BearTracks Youth Database Software version 4.1.0 upgrade download page. Use this page if a previous version of the BearTracks Youth Database Software is already installed on your machine and you want to upgrade to version 4.1.0. IMPORTANT: In order to upgrade your BearTracks Youth Database Software to version 4.1.0, you must have a good working knowledge of file directories in Microsoft Windows. If you do not have experience with Windows Explorer or My Computer and have not performed tasks such as creating directories, changing file names and backing up files, then you should not attempt to install version 4.1.0. Instead, please contact your IT support personnel to install the software. If your organization does not have IT support available please click on Technical Assistance to contact one of our technicians.

NOTE: If the BearTracks Youth Database Software is on a shared network/server where it can be accessed from multiple staff computers, it is important that it is not open on any staff computers when performing the upgrade. Inform your network administrator that you are performing a software upgrade and ask them to back up the “wiadatay.mdb” file on the server before you perform the conversion.

Step 1

Verify that the BearTracks Youth Database Software is closed on your computer. If the BearTracks Youth Database Software is on a network make sure that it is closed on ALL staff computers as well.

Step 2

Locate the current application file (nawiay.mde) by selecting Start...Search...For Files or Folders, then clicking on All Files and Folders and entering "nawiay.mde" in the "All or part of the file name" text box. Click Search. For many grantees this file will be located in the default location at “C:\NAWIA”, or at “C:\Program Files\NAWIA.”

Step 3

Rename the current application file. From My computer, right-click on the file: “nawiay.mde” and select “Rename.” Type “nawiay_old.mde” as the new name and press Enter. If you cannot rename the file then you may not have adequate permissions to download the upgrade.

Step 4

Click here to download the application zip file (nawiay.zip).

Step 5

Select “Save” when the "File Download..." screen appears. A "Save As" screen appears. Select the location identified in step 2 and click the "Save" button to start the download process.

Step 6

When the download is complete, close the download window by clicking on the "Close" button.

Step 7

Extract the contents of the downloaded zip file to the location identified in Step 2. From My Computer, right-click on the extracted file: "nawiay.mdb" and select "Rename". Type "nawiay.mde" as the new name and press Enter.

Step 8

Right-click on the renamed file and select Properties. At the bottom of the General tab click on the Unblock button, if present, and click OK, then close the Properties window.

Step 9

Locate the current back end database file (wiadatay.mdb) for later by selecting Start...Search...For Files or Folders, then clicking on All Files and Folders and entering "wiadatay.mdb" in the "All or part of the file name" text box. Click Search. For many grantees this file will be located in the default location at “C:\NAWIA”, or at “C:\Program Files\NAWIA.”

Step 10

Double click on your existing desktop shortcut for the Youth Program. When the logon screen appears enter "nawia10" for the Name and leave the Password blank, then click OK.

Step 11

You should be prompted to re-link the tables. Click 'OK' then navigate to the back end database file location identified in step 9. Click on the back end database file (wiadatay.mdb) then click Open. A "Re-link Successful" message will appear when the process is complete. Click "OK" and the main menu will appear.
